Editions

GrandTotal comes in 4 editions. S, M, L and XL. Features that are only available in a higher tier are marked with the corresponding edition.

Prices and a comparison of the editions: mediaatelier.com/Plans. A subscription is managed via GrandTotal › Subscription…; without a subscription the item is called Licenses….

Migration from GrandTotal 5 and older

Starting with Version 6, GrandTotal uses a new file format. Users of older versions of will be asked to migrate existing data upon launch.

Migration of older data can be started from the GrandTotal menu manually as well. There you also can delete older, not longer needed data.

The shared syncing folder used by older versions of GrandTotal has to be deleted manually: It’s located in GrandTotal/com.mediaatelier.grandtotal.sync in the root of your Dropbox or iCloud Drive. Make sure you don’t have saved own files in that directory, before deleting it.

FAQ

Can I work on the same file at the same time?
Yes, if it is on a cloud drive or in a shared folder on the device.
Is it possible to manage different companies or mandates?
Yes. You can create a new company using the File menu.
Can backup copies still be made?
Yes. To do this, save the corresponding GrandTotal file in the Finder or use the menu File/Save copy.
Can I save data for older versions of GrandTotal?
Yes. With the ⌥ key held down, File › Save a copy becomes Save in other formats. There, GrandTotal 6 to 9 saves a complete copy in the file format of GrandTotal 6 to 9, and Backup a backup copy for GrandTotal 3–5. Older versions only show the data they know. Anonymized copies and copies without documents can also be saved there.
Can GrandTotal be synchronized with older versions?
No. This only works within the same version.

How do you move to a new Mac?

All data (clients, documents, layouts, catalog, settings) is stored in the .grandtotal file. ⌘-click the window title to show its location. The safest way is to choose File › Save a copy on the old Mac, copy this file to the new Mac and open it there with a double click. If the file is in a cloud folder, open it directly from there on the new Mac. A license file is activated with a double click.
Can old years be removed from the file?
Yes. With the ⌥ key held down, File › Save a copy becomes Save in other formats; there you can save the last 3, 5 or 10 years to a new file. Observe the statutory retention periods.
Where is my data stored?
Where the .grandtotal file was saved, usually in Documents, iCloud Drive or Dropbox. ⌘-clicking the window title shows the location. Time Machine backs up the file as well.

Overview

The optional badge on the overview icon:
  • Green: SEPA direct debit to process
  • Orange: Invoices are due
  • Red: Invoices are overdue
  • Blue: Recurring documents are due

Invoices not yet sent are listed under Drafts. All sent, unpaid invoices are listed under Recent › Open; due invoices under Due, overdue invoices under Overdue.

Hovering over an entry such as Open or Overdue, or clicking its number, shows the total of the documents it contains.

Dashboard

The dashboard gives you a quick overview of open invoices. You also can compare revenues to last year's period.

All values are converted to your default currency using the exchange rate entered in Preferences/Payments.

Net/Gross

The dashboard's bottom toggle switches between displaying net and gross total calculations.

Online Dashboard

The dashboard can optionally also be accessed online. The data is protected with secure end-to-end encryption. More information here.

Top

Recent › Top shows, for the selected year, the clients, countries, item groups, projects and items with the highest revenue, as well as the payment behaviour: how many days before or after the due date clients pay on average. At the top, choose the year and how many entries (3, 5 or 10) each list shows.

The gear button sets which lists appear and in which order. Use gross prices at the bottom switches between net and gross amounts.

To dos

This is the list of the internal annotations that are marked as todo use the check mark to remove them.

Charts

In the Charts section you can compare and visualize values. The scale can be picked on the top right.
In the bottom part you select the values to be in the chart. The color of the bars can be changed. Drag the items to change the order. Drag it out of the window to delete them.

Right clicking on a bar gives you option to spilt the values by various criteria.
Clicking on a bar shows a list of the corresponding documents. Double clicking a document will show it. The list can be exported as well.

All the values are shown in your primary currency. The exchange rate can be set in Preferences/Payments

Previous year's values are only displayed in scales that are comparable.

If comparing items, it is most likely that you will get rounding differences compared to the invoices. (This is because taxed are calculated on the total on invoices and not on the individual item)

Charts will become available as soon you have sent documents.

Drafts

Here you will find all the documents that have not yet been sent.

An invoice that still has to be sent is found here. Recent › Open, by contrast, lists sent invoices that have not been paid yet.

Forecast

The forecast shows the expected turnover from recurring and permanent invoices.

SEPA Direct Debit

This section is populated with direct debit items to be processed.
From here you can export an XML file that can be uploaded to your bank or send it directly to MoneyMoney.
Settings for direct debits are located in Preferences/Identification and the Clients.
In Preferences/Payments, the SEPA Direct Debit column sets which payment types are collected by direct debit; only invoices with such a payment type appear here. Remove completed clears already processed entries from the list.

Templates

Here you can see your Document-Templates (if you have created any) and edit them. A template is created from an existing invoice or estimate: right-click the document or click its gear button › Create Template. If the document has attached documents, the option Include attached documents takes them into the template.

Use the "Edit/Delete" Menu to remove unused Templates.

Interactive Templates

Plugins can add templates to the New menu, e.g. for fee scales such as HOAI or SIA. Choosing one opens a form that creates a ready-made draft.

The templates are installed via Get Plugins in the Overview.

Work time (optional)

GrandTotal supports various time tracking applications. Their recordings appear in the corresponding section. Already invoiced items are listed in the "Invoiced" section.

Items with no cost only appear if Include items with zero cost is checked, archived entries only with Show archived in the list's context menu.

Right-click the list to group the time entries by Client, Project, Day, Month, User or Label. The space bar shows the selected entries as a preview of the invoice they would produce.

The menu at the service's entry in the sidebar leads to its Settings (e.g. login details), checks for updates, shows the plugin in the Finder or removes it.

"Invoice selection" is looking for the client for the items. In case there is already an invoice draft the entries will be added. Otherwise a new draft is created with the selected item.

You also can add times to a specific document by copying the items, move to the invoice select the list and paste them.

If the option "Auto-group" is turned on, items with the same title are grouped. Titles are setup in Preferences/Work time.

Use the Edit/Archive menu to remove unwanted entries.

Plugins

Services can be added by loading them from the „Get Plugins“ section. Show

Sent

All sent documents are listed here. They are grouped by year and month.

Right-click Sent › Show in Finder to open the filing folder with the PDFs (see Settings › File).

Under Sent › Invoices each year has its own entry; clicking it shows all invoices of that year. The months follow below it. Right-click Sent and choose Quarter under Subdivision to show quarters instead.

Reporting

There are several tools to analyze invoices and payments.

Date Range

You may summarize you data in various ways, Use "File/Export" to save CSV files.

Choose what to total: Invoices, Credit Notes, Payments, Projects, Team member, Client groups, Clients, Payment type, Item groups or Items. With Items, items with the same name are added up. Except for invoices, credit notes and payments, the table shows net and gross in separate columns.

Clients

Customers can be evaluated by year, sales, customer group, or country.

Table
The table provides information about the turnover, payment behavior, and current account balance of the listed customers. It can be transferred to other programs via the File/Export menu. e.g. for mail merges.
Labels
Print customer addresses on label sheets. Templates for Harma and Avery make settings easier.

To do this, choose the middle view with the segmented control at the top, set up the label sheet with Page Setup and print with ⌘P.

Chart
As an alternative representation of sales, a chart can be displayed.

Months

This view is a leftover from older versions and has been replaced by the Charts.

Plugins

GrandTotal can be extended by plugins. Load plugins to import time here.

Smart lists

Using smart lists you can group invoices, estimates and payments according to different criteria.

To create a new list, use the + button at the bottom of the overview sidebar: New smart list.

Received

Accepted inbound invoices are listed under Received › Invoices or Credit Notes, receipts still to be reviewed under Recent › New Inbound Invoices. The entries appear as soon as there are receipts. Right-click Received › Refresh to fetch immediately.

Receipts are captured with File › Import › From Files… or From Scanner…, by dragging PDFs or images onto the GrandTotal icon in the Dock, or automatically via Settings › Inbound Invoices (Watch Folder, Mailbox).

Icons

The colour of the invoice icon in the document lists shows the payment status:

  • Red: overdue
  • Orange: due
  • Green: paid

Completed invoices show a green receipt icon, cancelled ones a credit note icon. Recurring invoices also show a repeat icon.

In the info of an invoice, a warning triangle appears next to Number if the number is already used by another invoice, and next to Client if no client is selected.

Clients

All documents for the corresponding client are listed here. On top you will always see the most recent document.

Click the ⓘ-button to change the client information.

Use the search box above the clients to filter the list. Clicking on the lens icon to filter the list by client group or label.

To create a new client, use the + button below the client list: Manually or Import from Contacts.

To merge duplicate clients, hold down the ⌥ key, drag one client onto the other and choose Merge. The client you drag onto is kept. Add as contact turns it into a contact instead.

The ⓘ button appears when you move the mouse over the client in the list.

Client Data

Contact Information

Here you define the client group, the default currency, terms and what layouts should be used for this clients documents.

Use the menu Edit/Set as default you can make any contact the default one.

You can specify multiple email addresses separated by commas.

e.g. [email protected], cc:[email protected]

A prefixed cc: adds the recipient for a copy, a prefixed bcc: for a blind copy.

The Payable within field sets the days until due for new invoices of this client; Currency sets the currency of new documents. Both can be changed in the info of an individual invoice.

The salutation (e.g. “Dear Ms …”) is entered in the Salutation field below the last name.

In the VAT/Sales Tax-ID field GrandTotal checks the checksum while you type (note Checksum invalid). For a formally valid EU number a ? button appears in the field (Verify with VIES); clicking it queries the VIES service.

Contacts
A client may contain multiple contacts. These can be assigned as recipient to a document.

To add another contact, click + in the Contacts row of the client information; – removes it. A contact has its own address, so it can also represent a branch office. In the document, select it in the info under Recipient.

Right-clicking an entry in the Contacts row opens its menu. For a contact, Make default makes it the main contact: it takes over the client data, and drafts addressed to the client go to it from now on. Make separate Client turns a contact into a client of its own; layouts, payment terms, currency and client group are taken over. For the client itself, Use this address for all contacts copies street, ZIP and city to all of its contacts.

Labels

Labels can be created to mark clients. Each client can be given different labels to make it easier to find. See Clients

The magnifier in the search field above the client list filters the clients by Client group or Label. Invoices have no labels.

Language

You can setup languages in Settings/Languages

Client group

The client group decides if and how taxes are applied to this client’s documents. See Preferences/Taxes

SEPA

Enter your mandate ID for SEPA direct debit. If you provide an ID you need to set the corresponding signature date as well.
Whenever you send an invoice to a client with this data provided the Document will be added to the list in Overview/Recent/SEPA Direct Debit.

E-Invoice

GrandTotal supports numerous electronic invoice formats, most of them compatible with the European standard EN16931. The format can be selected individually for each client. Supported formats include:
  • XRechnung 3.0.1 (UBL 2.0)
  • XRechnung/ZUGFeRD (CII 2.3.0) – the XML is embedded in the PDF
  • PEPPOL Billing 3.0 (UBL 2.0) – only creates the file
  • PEPPOL via e-invoice.be and PEPPOL via recommand.eu – send the invoice directly to the Peppol network
  • EHF (Norway), PINT A-NZ (Australia/New Zealand), FatturaPA and CIUS IT (Italy), Facturae and CIUS ES FACe (Spain), CIUS PT (Portugal), CIUS AT GOV (Austria, public authorities), SI-UBL (Netherlands)
  • Factur-X and SuperPDP (France) – SuperPDP sends the invoice directly via the platform
  • Tarif 590 – reimbursement claims of therapists in Switzerland (with ZSR and GLN number)
Required fields are automatically validated based on the selected format.

The format is selected for the client under ⓘ (client information) › Electronic Invoice. If several clients are selected, it can be set for all of them at once.

With XRechnung/ZUGFeRD (CII 2.3.0) the XML is embedded in the PDF when sending; with Add separately it is also attached, with Exclude PDF only the XML is sent. UBL formats are not embedded in the PDF. By default the Peppol services only transmit the XML; with the Attach PDF invoice option in their settings the PDF is sent as well.

E-invoices have no layout. Logos and texts typed in the layout do not appear in them. To view them you can use e.g. the free InvoiceViewer.

Outdated formats (e.g. PEPPOL BIS 1.0) only appear in the menu if you hold down ⌥ while opening it.

Verifactu
VeriFactu ensures that invoices are recorded cleanly and comprehensibly in Spain. The software stores each invoice in a clear sequence and automatically reports the important data to the tax authority. This helps companies keep their records in order and avoid mistakes.

This is not an e-invoice sent to the client: GrandTotal reports the invoice to the tax authority, and a QR code on the invoice makes it verifiable.

To set it up, choose the format Verifactu via verifacti.com for the client under Electronic Invoice and enter the API Key from verifacti.com via the settings button next to it. NIF/CIF, company and address must be filled in for the client and under Settings › Identification.

When sending, GrandTotal reports the invoice to the AEAT via verifacti.com. The info of the invoice shows the status of the report in the Verifactu area with the Info button. For corrective invoices, choose the Correction type (R1–R4) there. If you set the state of a reported invoice to Cancelled, the cancellation is reported as well.

In the layout, drag the QR code from the payment elements (VeriFactu QR Code) to the desired place.

Hourly rate

The hourly rate is used when items with a duration are inserted in an invoice. If no hourly rate is specified, the rate from Settings/Work time is used.

Additional fields

Additional fields can hold information about your clients. This fields can be added to your layouts as well.

Currency

The Currency field in the master data sets the client's currency. New documents for this client take it over; existing documents keep their currency. The currency of a single invoice is changed in its info.

Invoices

An invoice always consists of at least one item. Additional items can be added when needed.

To create a new invoice, select the client on the left and click the + button below their document list. Estimate, credit note, permanent invoice, project, payment, document and document group are also available there. Alternatively use the menu File/New. The new document belongs to the selected client.

If File › New is greyed out, no client is selected: first switch to the Clients section and select the client.

Info

State
State only appears on sent unpaid invoices. Use this to cancel an invoice or mark it as completed.

Values: None, Settled and Cancelled. Both remove the invoice from the open items. Settled fits when only part was paid and the rest is no longer expected (e.g. a cash discount difference); Cancelled when no money was received and no payment is expected anymore. An invoice marked as settled without a payment does not count towards revenue.

This does not change the PDF of the sent invoice. If a cancellation note should be visible, print the invoice with ⌘P and choose a watermark in the print dialog (see Printing).

Sent
The date you sent the Invoice. This will be set to the current date in the send dialog unless you change the date there manually.
Due
The date the invoice becomes due. This date is calculated from the send date and the terms you set in the send dialog.
E-Invoice
In case the client has been setup for electronic invoicing the e-invoice is saved as a file here with the Save button. This also works for drafts, to check the file before sending; today's date is used for the date of sending that is still missing.
Recipient
Usually this is the main contact of your client. If your client has more than one contact, you can change it here.
Team member

The team member who issues the invoice. The field appears as soon as members have been set up under Settings › Team.

Number
The invoice number. This will be set automatically while sending the document. If you pre fill this value no new number will be generated.

The number is changed in the info of the invoice, in the Number field. For a sent invoice the field is locked; unlock the invoice first with the red lock button (Unlock document). A warning triangle next to the field shows that the number is already used by another invoice.

Subject
Optional subject for the document.
Reference
Use this field in case you want to add a reference. Some electronic invoices require you to enter the order reference here.
If you turn an estimate into an invoice the number of the estimate will be copied into this field.
Currency
The currency the Invoice is issued in. For a new invoice this is taken from the clients settings. When changing the currency the prices are changed according to the rate entered in Preferences/Payments.
Hourly rate

The rate for entries with a duration that are inserted into this invoice. If empty, the project's rate applies, otherwise the client's; it is shown in gray in the field.

Payment Type
The kind of payment to be expected from the client. This is taken from the clients settings.
Payment Terms
The time in days until the invoice is due. This value is taken from the clients settings.
Date range
If the items of your invoice contain dates this the range is calculated automatically. You may set a custom range here.

The date range is the service period. It is output in the layout with <document.dateRange/> and included in e-invoices. There is no date range per item; an item only has a date. If the items contain old dates (e.g. copied items), set the date range here manually.

Recurring
Invoices can be marked as recurring. Recurring Invoices are listed in the Overview. First in the section „Recurring later“ and if the recurring date is reached in „Now recurring“. From there you can create an invoice.

When there are recurring invoices ready to send, a blue badge in the overview icon will notify about them.

The interval is set in the info of the invoice under Recurring (Week(s), Month(s), Year(s)). It is based on the date of sending of the previous invoice. From Recurring now a new draft is created that can be edited before sending. For constant receivables without editing, use a permanent invoice.

An invoice only appears under Recurring later once it has been sent.

Recurring invoices have no end date; only permanent invoices have one (Ends).

Custom Fields
You may add custom fields. The fields are the same for all Invoices but they can contain individual values.

Items

The Table of an invoice consists of at least one item.

The plus button on the bottom left creates a regular invoice item. Use the gear button to insert other elements or to sort the table.

To the right of the table there is the catalog. You may drag items from the catalog directly to the desired location in the invoice table.

Use the menu File/Import to import Excel or CSV file directly into a draft document.

New items, titles, subtotals and other item types are inserted after the selected item, or at the end if nothing is selected. To change the order in a draft, drag items to another position.

To show the catalog next to the document, use View › Show Assistant (⇧⌘L) and View › Assistant shows › Catalog (⌘4).

Introduction
On the top of the item list you can enter a personal introduction that will appear above the first item of the invoice. More information
Item
An item consists of a Quantity and a unit price. Both values multiplied result in the price of the item.
Optionally, enter a unit like "pcs" or "h" in the Unit field.
A discount on the item is typed into the Discount field in the item's row, as a percentage (e.g. 10 for 10 %). It is deducted from the item's price.
Items can also have a date.
The item group defines if how much taxes are added for that particular item. Taxes are calculated at the end of the document.

You can find some plugins for calculating items such as areas and volumes in Overview/Plugins/Get Plugins.

If you have setup Additional fields in the Catalog, you can edit them by clicking the label icon right to the title of the item.

Dynamic Cost
Dynamic costs allow the calculation of costs depending on preceding items. For example, a discount or markup can be calculated on one or more items.

Dynamic costs can be extended with plugins. Find samples on Github.

If the item group does not match the taxes of the preceding, you will be presented a warning symbol

Using a base value, items can be calculated as percentages of a fixed amount — for fee scales such as HOAI or SIA. The corresponding plugins can be downloaded separately.

With the type Multiplier, the sum of the preceding items is multiplied by the quantity entered, e.g. 3 for three rental periods.

Summary
In a summary, several items can be summed up into one. The items contained in it can be output as individual tables after the final totals or not listed at all.
Please note: If your table is set to list totals at the bottom of the page, the first summary will be listed on a new page.

In addition, the sum of the contained items can be multiplied by an additional factor. For example, 1 table and 4 chairs can be rented for 3 days.

Notes
Add notes if you want to add information without any cost.
Internal Annotation
These annotations are for internal use and do not appear in the PDFs. When you mark an annotation as to-do, it appears in the overview under To Dos.

Format Bar
A format bar sits above the item description. It makes selected text bold, italic or underlined. With nothing selected, the format applies to the text you type next.

The × on the right of the bar hides it, for all descriptions. To show it again, choose View › Show Format Bar or use the context menu of the description.

Lists
Item descriptions can contain bulleted and numbered lists, also with several levels.
  • A list starts when you type “-”, “*” or “1.” followed by a space at the beginning of a line. Alternatively use the format bar or List in the context menu.
  • Return starts a new list item. Return on an empty item goes back one level and finally ends the list.
  • Tab indents an item, Shift-Tab outdents it. The same works with ⌘] and ⌘[ or with the arrow buttons in the format bar.
  • Shift-Return adds a line break within an item.
Title
Use titles to structure your documents if needed.
Options
Options can only be added to estimates and behave like titles.

If options are added at the end of the estimate, a sum of the following positions can optionally be formed.

Options inserted between regular titles suppress the summation of the following items.

When converting a quote to an invoice, options are converted to regular titles.

Items that belong to an option are marked orange in the item list.

An option is inserted via the gear button below the item list › Options. The items after it are considered optional.

Insert titles automatically

Insert titles automatically (gear button below the item list) sorts the items by item group and adds a title with the name of the item group and a subtotal after it for each group. Existing titles and subtotals are replaced.

Subtotal
In complex documents it can be useful to add subtotals. The sum is calculated from all items from the last subtotal. (Or the beginning of the document if there is none)
Page break
Page breaks are added automatically when an item does not fit on a page. With this element you can enforce a page break.
Grouping
Items can be grouped into one item using ⌘G. Only the grouped item is then visible to the recipient.

Groups cumulate the notes of all enclosed items. You can customize the text by right clicking the notes field and select „Insert note“.

Editing multiple items
Use the contextual menu on multiple selected items to change values on more that one item.
Total
The net and gross values of the invoice are displayed below the items.
Margin
Instead of the net value, the margin can be displayed alternatively as an absolute or percentage value. The margin can only be calculated for catalog items that have a cost price.

To do this, choose Margin or Margin % in the pop-up menu on the left of the totals row below the item list (shows Net).

Pasting

The table allows to paste items copied from Timings, Tyme, Merlin Project, OmniFocus, OmniPlan, The Hit List, Numbers and Excel.

Scan Barcode

In a draft, choose File › New › Scan Barcode (⌃⌘S). A scanner area for the camera, iPhone or a barcode scanner appears above the items. GrandTotal looks up the catalog item with this EAN/GTIN and inserts it; if it is already in the invoice, its quantity is increased by 1.

Minimap and Table of Contents

Instead of the catalog, the assistant shows the pages of the document with View › Assistant shows › Minimap (⌘5), or its titles with Table of Contents (⌘6). A click jumps to that place.

Preview

In this view you can see the document in the form it reaches your client.

If the document is still a draft you can edit the layout. More on layouts

In drafts, clicking an item in the preview opens its editor right there. This way you change quantity, price or text without switching to the item list.

Sending

When a document is sent for the first time, the program asks for the date of sending.

The date can also be entered numerically. Just type the date.

After the confirmation the due date is calculated and the document is frozen on the final state. No further changes are possible, unless you unlock the document with the red lock key. This way it becomes a draft again.

The invoice date is the date of sending. A different date, including one in the previous year, is chosen in the send dialog; do not change the Mac's system time for this. An invoice that has already been sent is sent again with the same button, which then reads Send again. No unlocking is needed for this. If the invoice has to be changed first, unlock it with the red lock button (Unlock document). This clears the date of sending, and the button reads Send again.

The number is assigned once, when the document is sent for the first time. Unlocking and sending again keep it.

The Send button is never greyed out. For a final invoice it only appears once at least one of its partial invoices has been sent.

E-Invoices
When there is an e-invoice selected in the client's settings, the print option is replaced with a save button.

For e-invoices sent via PEPPOL or other services, a Network button is shown.

If information required by the selected format is missing, GrandTotal lists the missing fields when sending. Add them and send again.

To send via Peppol, choose the format PEPPOL via e-invoice.be or PEPPOL via recommand.eu for the client under Electronic Invoice. Enter the credentials via the settings button next to the format (e-invoice.be: API Key; recommand.eu: API Key, API Secret, optionally Company ID). The Peppol ID field contains the client's identifier; Look Up searches for it. After sending, the Network button transmits the invoice. The format PEPPOL Billing 3.0 (UBL 2.0), on the other hand, only creates the file.

Common reasons for a rejection: items without a title (e.g. empty lines at the end) and periods or spaces in your own VAT ID under Settings › Identification.

If an e-invoice is selected for the client, the send dialog does not offer printing. Printing still works with ⌘P. Private customers do not need an e-invoice; leave the format empty for them.

Partial invoices

In the document menu of an invoice draft (right click or gear button), choose Create Partial invoices and the number 1 to 4. The draft becomes the final invoice containing the partial invoices. With 2, 3 or 4 you get equal installments; a single partial invoice initially gets 50 % of the open amount.

To change the portion, use the Share field in the info of the partial invoice, as a percentage (20) or as a fraction (1/3).

A final invoice can only be sent, when at least one of the partial invoices has been sent. If there are any partial payments, they are deducted automatically.

The final invoice is also called closing invoice.

Permanent invoices

Permanent invoices are suitable for rents and other regularly recurring receivables for which you do not have to send a new invoice every time. To do this, choose Permanent invoice on the + button below the client's document list. In the info, set the interval under Interval (Week(s), Month(s), Year(s)) and optionally an end date under Ends. Begins shows the date of sending from which the repetitions run. After sending, the interval can no longer be changed. You then create the invoice as usual and send it.
GrandTotal automatically creates a document for each repetition at the given time. This can be marked as paid after payment has been made.

The automatically created repetitions appear below the permanent invoice, not under Recurring now. Upcoming dates are shown in the forecast.

Credit notes

A credit note is a document type of its own. Create it with the + button below the client's document list or via File › New › Credit Note.

Enter the items with positive amounts. GrandTotal deducts the credit note from revenue and open items. Keep in mind that you need to mark credit notes as paid as well: record the refund to the client like a payment.

Numbering and title are set in Settings › Credit Notes.

Corrected invoice

To correct an invoice fully or in part, choose Create Corrected invoice in its document menu (right click or gear button). GrandTotal creates a draft with the same items and negative quantities; the Reference field contains the number of the original invoice. For a partial correction, delete the items that are not affected or adjust the quantities, then send the draft.

As long as the reference contains the number of the sent original invoice, the document appears in e-invoices as a corrected invoice (type 384). Older invoices with a negative total and no such reference count as credit notes.

Estimates

Estimates work like Invoices. To convert an estimate to an invoice, select it in the document list with a right click or via its gear button and choose Create Invoice. The estimate number then appears in the Reference field of the invoice. The resulting invoice is a copy and can be modified.

To mark an estimate as Accepted or Declined, use the menu at the top next to the Send button (None removes the mark again); for several selected estimates use Edit › Mark as. Create Invoice marks the estimate as accepted automatically. Only sent, accepted estimates count towards the budget of a project; an estimate is only considered expired as long as it is neither accepted nor declined.

Interactive Estimates

Estimates can be shared as an interactive web page. View › HTML Preview shows this web page; customize font, colors and logo there.

The client receives the link by mail: in Settings › Mail, choose Estimate at the top left and drag the blue placeholder Interactive Estimate into the mail text. In the placeholder's menu, choose Interactive Estimate Link or Link with Password. Then send the estimate. Your client opens the estimate in the browser, picks options and accepts it online. GrandTotal notifies you about changes and acceptance.

Payments

Each invoice can hold as many partial payments as needed. If the sum of the payments reach the total of the invoice it becomes paid.

If you add a payment before sending the invoice it is considered as a progress payment (Date of the payment is earlier than the date of the invoice)

For payments with a slightly smaller amount than the invoice total, the deducted cash discount value is displayed. Click on the check mark to mark the invoice as completed.

If you get a Deposit from a client you add this to the top hierarchy of the documents. If you drag this payment on an unpaid invoice later it will be assigned to the invoice.

To record a payment, use the Paid… button in the sent invoice (enter amount and date). Alternatively choose Add Payment in the document menu or File › New › Payment.

A wrong payment date is changed in the payment itself: in the Clients section, expand the invoice and select the payment. The invoice does not need to be unlocked for this.

Bank account statements (CAMT.053)

Bank account statements in CAMT.053 format are read in by opening the file in GrandTotal: drag it onto the GrandTotal icon in the Dock, double-click it or choose File › Open Company… (⌘O). The payments are assigned to the open invoices. File › Import › From Files…, on the other hand, is intended for inbound invoices.

Printing payments

Print a selected payment with ⌘P or drag it to the Finder as a PDF. GrandTotal creates an account statement with the invoice and this payment, e.g. as a receipt.

Projects

Use projects to organize your documents. The name of the project will be shown in the documents when you add the <document.project/> placeholder.

Linked Folders

Projects can be linked to Finder folders and vice versa.

Hourly rate

A project can have its own hourly rate. Documents in the project use it unless they define one themselves; otherwise the client's rate applies.

Budget

Accepted estimates form the budget of a project. Invoices are deducted and the remaining amount is shown in the project list.

Documents

PDF documents can be attached to invoices, projects or customers. To do this, choose Attach Document for the desired document in the document list (right click or gear button) and assign a PDF file to the new document with Select a PDF or by drag and drop. A document created with the + button below the document list belongs to the client and not to an invoice.

If the option Attach with parent document is turned on, the document is added to the invoice or estimate when you are sending it.

A document holds an existing PDF file, e.g. a contract or a plan. Letters and other correspondence are not written in GrandTotal.

Document groups

Use document groups to merge multiple PDF Documents into one single document.

Account statements

The document list of the client can be changed to history mode using the clock symbol. There all invoices and payments are listed in chronological order.

Using multiple selection you can select which items should appear on the account statement.

In account statements the layout placeholder <quantity/> is replaced with the date of the invoice/payment

The Send button in the account statement view sends the statement like an invoice. The subject and text of the mail are set in Settings › Mail for the type Account statement, the layout in Settings › Clients or per client in the client information.

Catalog

The catalog is used for commonly used items. It also appears on the right side of the list in documents. From there you can drag items either to the document or from the document to the catalog.

Use the search box above the items to filter the list. Clicking on the lens icon to filter the list by item group or label.

To create a new item, use the + button below the item list.

Prices

Hitting the return key after entering a net price will calculate the gross price and vice versa. If you want to enter the other price manually, just hit the tab key.

Cost price

Purchase price to which the ancillary costs of procurement, such as freight, insurance, etc., are added. This value is used to calculate the margin.

Item group

The article group is used for categorization, it also decides how the article is taxed. See taxes

New item groups are created in Settings › Taxes: in the Item groups list with the + button. There you also assign their tax group. The check mark button makes the selected item group the default for new items.

Labels

Labels can be created to mark items. Each item can be given different labels to make it easier to find. See above.

Files

Files can be attached to each catalog item. Press the space bar to preview the selected file.

Changing prices in batch

If you select several items in the catalog (⌘- or ⇧-click), the Adjust Prices area appears on the right. Enter a value there and choose whether it applies as a percentage or as an amount. Apply changes the prices of all selected items.

Item number and EAN/GTIN

Each item has the fields Item number and EAN/GTIN. They can be output in the layout, are included in searches and are transferred to e-invoices. With the EAN/GTIN, items can be inserted into invoices by barcode.

Weight

Each item has a Weight field. In documents it is multiplied by the quantity and summed up. In the layout it is output in the Item section with <weight/>, the total weight of the document with <document.weight/>.

Default quantity

The Default quantity is entered as the quantity when the item is inserted into a document.

Note

The Note section holds internal remarks about the item, e.g. supplier or purchase terms. They do not appear in documents.

Customize sections

Sections of an item that are not needed are hidden via right-click › Hide Section. Right-click › Customize shows all sections; there, hidden ones are brought back with Show Section, or Reset restores the original state. Done ends customizing.

Layouts

The layout defines how your documents are looking. This is fully customizable.

In case you need layouts in multiple languages you need to create a separate layout for each language.

⚠ Usage: this number shows you how many times a layout has been used. This also counts how many times this layout is assigned as default in client settings.

To edit a layout, select it and switch to editing mode with Edit › Customize (⌘L). A second layout, e.g. for estimates, is created with Edit › Duplicate (⌘D) or via the gear button of the layout row. The + button below the list creates an empty layout.

A layout is assigned via the gear button of the layout row › Make default for (Invoices, Estimates, Account statements, Other Documents). This affects all clients and drafts, but not sent documents. Per client, the layout is selected in the client information.

Generate layout from PDF

You can generate a layout from an existing invoice in PDF Format. In the Layouts section, use the menu File › Import (⌃⌘I) and select a PDF from an invoice you issued earlier. GrandTotal will then try to convert it to a layout.

Alternatively, drag the PDF file directly onto the list of layouts.

If your Mac is set to the region Switzerland, the option Add Swiss Payment Slip adds a QR payment part to the new layout.

Pages

A layout consists of at least 2 pages. The "First page" is used in every document. In case there is insufficient space for the items on page one, the "Following page" will be used subsequently until all items are listed.

Additional pages can be used to append extra pages. E.g. terms of service.

The paper size is set in the editing mode of the layout with File › Page Setup… (⇧⌘P).

Backdrop

Each Page can hold a PDF-File as a Backdrop. You create the background in the program of your choice in the same paper size your layout needs to be. Drag the PDF on the page.

If you have a multiple pages in your background, right click the background to pick the correct page.

If you are using stationery paper to print your documents, leave the backdrop empty and add it to Preferences/Stationery instead

Size
Using large backdrop files will result in larger PDF files and slower performance.

You can check the file size by right clicking the background. A size of 300KB max. is recommended.

Table

The table consists of different sections that are used for different types of items.

Clicking on the table once in page view will show you the global options for the table. Such as background color and if the sums should be aligned at the bottom of the table. A double click will take you to the editing section of the table.

⚠ The sections are only used if needed in a document. There is no need to delete fields in unused sections. Deleting all fields will produce empty lines once needed.

The columns of the item table are text fields with placeholders in the individual table sections (Header, Item, Subtotal, Net, Taxes, To pay …). To move a column, change the field in every section in which it appears. Font and style are changed the same way: e.g. for a bold grand total, select the field in the To pay section and choose Format › Font › Bold (⌘B).

Each section has a gear button with background color, Line before, Line after, Line indent (left/right) and Space after. In the Item section you can also turn on Alternate background to color rows alternately. Lines can also be dashed or dotted; choose the style in the menu next to the line width. The space above is determined by the position of the fields in the section. The line spacing of a text is set in the ruler. Smart Guides help to align fields on the same line.

Introduction

The Introduction section appears on the first page if an introduction text has been entered above the items in the document. If no text is entered, it does not appear.

If a fixed text should appear on every document, write it directly into the layout on the first page above the table.

Header

The header holds the captions for the items. It appears at the top of the table area on every page that contains items – on the first page after the introduction. Pages with only titles, notes, sums or the closing note get no header.

Item

The invoice item.

⚠ If you use discounts on items you need to add the <discount/> placeholder.

⚠ Quantities (<quantity/> ) are automatically formatted as duration when the unit is "h". Use the <qty/> placeholder to always show decimal values.

⚠ Date range (<dateRange/> ) shows you the date and the time of items imported from compatible time trackers (Only works if the timer service provides the day time).

Item numbers are output with <index/>, hierarchical numbers with <fullindex/>. This works in the Item, Title and Option sections.

Title

Titles are added manually to documents.

Options

Options are headers for optional items in Estimates. See Options

Note

A note is like a regular item, but does not contain price information. It needs to be added manually to your document.

Sub total

Subtotals are added to the document manually.
Quantities

In the Subtotal section the placeholders <quantity/> and <duration/> are available. They contain the sum of the quantities or hours of all items since the last subtotal.

Discount

The discount section is shown if you have entered a discount for the document.

Partial invoice

Here you enter the text that describes the calculation of the portion of a partial invoice.

Net

If your document contains taxable items this line will be added, showing the net value off all items.

Taxes

This line is added when taxes are calculated to the document.

Total

This is shown if your document contains prepayments. It displays the cost before payments.

Payments

Prepayments are listed using this line. This are payments added before sending the document.

To Pay

This section defines how the grand total is displayed on your document.

End note

The end note always appears as the last item of the table.
This section is suitable for the payment terms or similar information.

Elements

If several elements are selected, right-click and choose Distribute › Horizontally or Vertically to space them evenly.

Text

With this tool you can add text fields to your layout. You can add placeholders or regular text to those fields.
If you use a placeholder, the style of the first character of the placeholder will be applied to the whole substitute.

A new text field is dragged onto the page with the Text tool from the toolbar of the layout editor. The font of all selected text elements is changed with Format › Font › Show Fonts (⌘T); select multiple elements with ⇧ or ⌘A. For fields of the item table, double-click the table first.

Placeholders
A list of the available placeholders can be accessed from the gear button on the right of the text field. In addition this list can be accessed using right click while editing the text.

Hold down ⇧ or ⌥ to show the variants for upper- respectively lowercase versions of the placeholder.

An appended _uc outputs the value in uppercase, _lc in lowercase, e.g. <document.label_uc/>. Without a suffix it is displayed normally.

Lists
When setting a list style for a placeholder, the style will be applied to the text if it consists of more than one line.

Example:

One line

  • Line 1
  • Line 2
Blocks
If you only want to show a text if a place holder contains a value, enclose the text and the placeholder with brackets.

Example: [Discount: <discount/>]

Using blocks you can also avoid line breaks on empty values by including the break at the end of a block

Example: [Department: <recipient.department/>
]

You can also create the block with a right-click: select text with a placeholder and choose Hide if Empty ….

URL
You may add an optional URL on a text field. This is added to the PDF.

In the Links section of the text settings you can give links in the PDF their own Color or make them Bold or Italic.

Hyphenation
Turn on this option, to enable hyphenation.
Scripts
Using JavaScripts the contents of a text field can be generated dynamically. A string-result of the script will use the font and style of the first character in the field and replace the full contents of the text field.

In case you just want to replace portions of the text, return an associative array and add the corresponding placeholders to the text field.

Script: return {myValueA:valueA, myValueB:valueB};
Field text: A text with the placeholders <myValueA/> and <myValueB/>

Scripts can only read values, not change them.

Typography
The context menu of a text element offers a typography menu with the current font's features — ligatures, number styles and more — including a preview of each variant.

When applied to a right-aligned placeholder, GrandTotal offers to use the same typography for all right-aligned placeholders, as these are usually number columns.

Image

You can place PDF images in your layout using this tool.

To replace the logo, drag a PDF file onto the existing image element in editing mode, or double-click it and choose a PDF or SVG file with Select a PDF. Drag and drop only accepts PDF files. Documents that have already been sent do not change.

Text Wrap: When this option is on, the text of adjacent text fields flows around the image; Spacing sets the free space. This is mainly intended for product images in the Item section and also applies to QR codes.

URL
You may add an optional URL on an image.
QRCode
You may add a QRCode to an image element. In this case the QRCode is drawn instead of the image.
Scripts
Using scripts you can control the visibility, the URL and set the image using SVG source code.
Product images

An image for an item is dragged into the image field of the expanded item in the item list; for catalog items into the image field of the item. To make it appear in the PDF, insert an image element in the Item section of the layout (double-click the table); it is automatically used as product image there.

Rectangle

Colored rectangles.

Table area

The table area can be placed on the first and the following page of a layout. It defines where on the page the table is placed. Only one table can be placed per page.

Payment Elements

Region or country specific payment elements. Drag the desired element on you page.

* called EPC QR Code, GiroCode, Scan2Pay as well
Adoption
  • Austria
  • Belgium (OGM automatically added)
  • Finland
  • Germany
  • Netherlands

For Belgium, GrandTotal creates the structured communication (OGM, +++xxx/xxxx/xxxxx+++) for every invoice. In the layout it is available in the placeholder menu under Belgium › OGM. Imported payments are matched to the invoice via the OGM.

Stripe
The URL points to a Stripe payment link of the account whose key is entered in Settings › Identification. By default, credit card payments are possible as well. To keep fees low, SEPA direct debit and/or iDEAL can be enforced in the plugin settings (Force SEPA Payments, Force iDEAL Payments; only for invoices in EUR).
Swiss
The Swiss-QR Code is intended for payment transfer in Switzerland. A ready made template can be loaded in the Layouts section.

The QR code can be configured by double clicking on the element.

When a QR IBAN is entered, a QR reference is generated. With a normal IBAN, an RF creditor reference (SCOR) is created from the invoice number; this also allows payments to be matched automatically when importing bank files.

VeriFactu
The VeriFactu QR code (Spain) shows the tax authority's verification URL that the VeriFactu plugin received for the invoice. Drag it from the payment elements menu into the layout.
Hide for Direct Debit
With the option Hide for Direct Debit, the QR code does not appear on documents that are collected by direct debit.

Colors

On the right of the Colors tool you can find a little triangle. Use this if you want to batch replace colors in your layout.

In the color panel you can also set the opacity of a color, e.g. for subtle backgrounds.

Settings

Organization

Enter your own contact data here.

Additional fields

Additional fields can be used in your layouts. The same fields are added to all of your clients as well

Identification

Enter the ids provided by the government of banks here.

Your own VAT/Sales Tax-ID (VAT number), Tax Identification No. and Legal registration ID are entered here.

Your own bank details are entered in the Bank section in the IBAN and BIC fields. In the layout they are output with the sender placeholders <sender.IBAN/> and <sender.BIC/>.

If a payment type should use a different account, enter it in Settings › Payments via the settings button in the row of the payment type (Account Holder, IBAN, BIC). These bank details then take precedence and are also used in e-invoices.

GrandTotal checks IBAN fields (here, in the client's bank details and in the payment types) while you type. If the checksum is wrong, the note Checksum invalid appears.

Legal registration ID

Your company's legal registration identifier for e-invoices (Peppol / EN 16931, field BT-30). Enter it as scheme:number, using the ISO 6523 / Peppol code for your national company register:
  • 0106:12345678 — Dutch KvK number
  • 0190:… — Dutch OIN
  • 0208:… — Belgian enterprise number
Some countries require this identifier instead of your VAT number when sending invoices via Peppol.

SEPA

The SEPA fields need to be filled if you want to process direct debit using GrandTotal.

Switzerland

Enter your information for ESR/BVR slips here.
Contact you Bank for details.

This settings are only available when your System Preferences are set to the Region of Switzerland or Liechtenstein.

V11 und camt.054.xml files from Post or Bank can be dropped onto the dock icon of GrandTotal.

Stripe

Enter your Stripe API key here. It will be used to create Stripe payment links and to check Stripe for payments.

Team

Setup your team members here. Watch this movie to learn more.

Team members are the people who issue documents. Click + under Members to add one and enter the name, Email, Phone and a Signature. The round button in front of a member marks who you are yourself: new documents get this member.

As soon as there are team members, the Info of invoices, estimates and reminders shows the Team member menu. The assigned member is used in three places:

  • Layout and mail text have placeholders for the member's name, email, phone and signature, so every document carries the right contact person and signature.
  • The document lists of the overview have a Team member column.
  • Under Reporting › Date Range and in the charts, revenue can be evaluated per team member.

Clients

Decide if newly created clients have net or gross prices calculated. This setting can be applied to all clients using right click.

This setting also affect what prices are show in the catalog lists.

The format of the client number and the current counter can be changed here. (Counter shows the number the next client will get)

Here you also can change the settings of Account statements

Under Sort order you choose whether the client list is sorted by Last name or First name. Under Country in Recipient Address you set the language in which the country name appears in the recipient address, e.g. always English for international mail.

Invoices

In the Label field you set the name printed as the title of the document, e.g. Invoice, Partial invoice or Final invoice; the menu next to it selects the document type. This has nothing to do with labels for organizing: invoices have no labels, those exist only for clients and catalog items. Invoices are filtered with a smart list (Overview, + button at the bottom of the sidebar › New smart list). An invoice with a grand total below zero is a corrected invoice; you set its label by choosing Corrected invoice in the menu next to Label. Credit notes are a separate document type with their own settings under Settings › Credit Notes.

The payment terms are copied to newly created clients and may me changed in the client’s settings individually. In addition you can set custom terms while sending an invoice.

Invoices not being paid within this terms are marked as due. When the date passes the value in the second field they become overdue.

Default layout determines the layout of new invoices. Under Electronic Invoice you choose the e-invoice format that new clients receive; it can be changed for each client.

Conditions

The conditions are the standard text at the end of every invoice, such as payment terms, bank details or a closing text. Separate conditions can be created for each payment type.

Bank accounts and other information to the payment process can be entered here.

Conditions can be built from text mixed with the blue tokens you find below the text field. Please note that some tokens offer a menu where you can pick from options (e.g. Cash discounts).

The text of the conditions is output in the layout with <document.conditions/>, usually in the end note. Which condition applies depends on the payment type: it is taken from the client when an invoice is created and can be changed in the info of the invoice. For estimates the conditions come from Settings › Estimates.

Cash discount: the up to three cash discount values are defined in Settings › Payments and built into the text here using the placeholders (dates via Due, amounts via Amount). For clients without cash discount, create a second payment type. Cash discount does not belong in the grand total.

For a single text at the end of a document there is the end note field below the items.

Numbering

In the Format field you set the pattern of the invoice number. Drag placeholders such as Year, Month or Counter from the placeholder row at the bottom into the field; there, the menu of a placeholder offers further formats. Counter is the number the next invoice receives; the field only appears if the format contains a counter. Under Reset you choose whether the counter starts again Every year, Every month or Every day.

An individual number is only used once. In case another document with the same number is found, GrandTotal counts up until it finds a free slot.

If GrandTotal is used on multiple Macs with the same document, the sync window can occasionally let two devices pick the same number. With the Check uniqueness online option the proposed number is verified against a reservation server right before assignment, and the next free number is used automatically if a conflict is detected. The option is off by default. More information here.

Credit Notes

In the Label field you set the title printed on credit notes. Below are the Conditions, printed at the end of every credit note, and the Numbering with its own format and counter.

A credit note is a separate document type with positive amounts; in reports and in the open balance it counts as negative. An invoice with a grand total below zero, on the other hand, is a corrected invoice (see Invoices).

Estimates

The settings for estimates are similar to the one for invoices. Instead of payment terms you can specify a validity here.

As with invoices, several conditions can be created; new estimates receive the one marked as default. Which one applies is chosen in the info of the estimate under Conditions. If there is only one text field for the conditions, they apply to all estimates.

Other Documents

You may attach follow up documents to invoices or estimates using the action button. E.g. confirmations, reminders or delivery slips. These documents will show the same items as their parent document.

Here you can setup your additional document types and their conditions.
Optionally you can ungroup items for a detailed work report.

You can setup rules to exclude specific items. E.g for removing shipping cost from delivery notes.

To show the dates of the parent document, use the <original.sent/> and the <original.due/> placeholders in your layout.

By default only the Reminder type exists. For a dunning letter, a delivery note or an order confirmation, create another type here with the + button and set the layout, conditions and optionally a separate numbering.

The document is created in the document menu of the invoice or estimate (right click or gear button in the document list), e.g. Create Dunning Letter. Overdue invoices are found in the overview under Recent › Overdue.

The documents take over the items of the invoice. There is no separate function for dunning fees. A fee can be written as text in the conditions of the type or billed as a separate invoice.

The date and due date of the original invoice are shown by the placeholders <parent.sent/> and <parent.due/> (equivalent: <original.sent/>, <original.due/>).

Items

Turn the autocompletion off if you don’t want to get suggestions while typing a title.
Suggestions are based on the catalog documents you have created in the past.

The character that is used for lists when you start a list entry with - or * can be set here. By default, a • is used.

Stationery

In case you are using stationery paper for printed invoices you may add a backdrop here that is placed behind the document. Under Use for you choose whether this happens when Sending documents, Saving documents and Exporting documents. (Don't use backgrounds in your layout then).

If the backdrop hat multiple pages, the first page is used for page 1. Page 2 is used for all subsequent pages.

Mail

In this section you define the contents of an E-Mail for the various document types. Besides the blue placeholders you can also use layout placeholders including the ones for the languages.

The name of the PDF attachment is set in the File name field. If it is empty, the subject is used.

Optionally enter BCC mail addresses to send a copy of a document to your bookkeeping

Optionally you can chose to add the stationery defined in here to your mailed PDFs

At the top left you choose the document type whose mail text you are editing (Invoice, Estimate, Account statement), and right next to it the mail program. The mail program applies to all document types. The menu shows the installed supported programs. Inbound Invoices

GrandTotal can collect inbound invoices automatically. New receipts still to be reviewed appear in the overview under Recent › New Inbound Invoices, accepted ones under Received › Invoices or Credit Notes. The Enable switch at the top of the section turns the function on or off for this file.

Watch Folder: Files saved to the selected folder are imported automatically.

Mailbox

GrandTotal checks a folder of your mail account for new invoices. Set up the account, pick a folder and enable the option.

Mail-only receipts without attachment can be imported as well.

The status shows the last fetch and possible errors.

File

At the time you send a document a PDF is can be created. Here you define where you what to save them.

Base: The directory where all the documents are saved in.

Folder: The sub directory in which the documents are saved. (use "/" between the elements to create further sub directories)

File name: The name of the document.

The documents can be reissued from the database at any time by recreating the folder content.

The filed PDFs also contain the data of the document. If an invoice is missing from the file, drag its PDF from the filing folder onto the GrandTotal icon in the Dock; the document is imported into the open company. Payments then have to be added manually.

Taxes

Here you setup how taxes are calculated.
In the vertical axis of the matrix the client groups are listed. Horizontally you can add tax groups.

The tax groups are assigned to the item groups.

⚠Once used in a sent document taxes can't be changed anymore.

* Ask your  tax adviser in case of questions

The + button at the bottom opens a menu with Client group (new row) and Tax group (new column). For a new tax rate, choose Tax group. Clicking a cell of the matrix opens the settings for this client group: type Taxable or Not Taxable and the rate in %. Then assign the tax group to the item groups in the list below. The item group with the check mark is the default for new items.

Items with different rates (e.g. 19 % and 7 %, or tax-free expenses) can be mixed in one invoice; each item gets the appropriate item group.

If a tax is already used in sent documents, duplicate the tax group via its gear button instead of changing it. Entries that are no longer needed are archived with a right click.

A new company has the client groups Domestic and Abroad. Only Domestic receives tax rates; Abroad is tax-free by default. For clients abroad without VAT, choose Abroad under Client group in the client's master data.

Combined Taxes

In some countries 2 or more taxes need to be added. Up to 3 taxes can be combined.
For Tax #2 and #3 you can decide if the tax applies on the net value or to the sum of the net value and the first tax.
Tax exemptions
For tax free items you can specify a reason for the tax exemption. This is is used in electronic invoices

For small businesses there is the Not Taxable tax group. Either set the item groups to this tax group, or set the cell of the client group in the matrix to Not Taxable. In the cell, choose e.g. Small business scheme (§19 UStG, Germany) under Reason for tax exemption; this reason is output in e-invoices. For a new company the setup wizard sets this up if My business is taxable is not checked.

For clients abroad, choose the matching reason under Reason for tax exemption in the cell of the Abroad client group, e.g. Reverse charge, Intra-Community supply or Export outside the EU.

Adjusting Taxes

In case taxes are being raised or lowered over time you can duplicate the tax group by clicking on it’s gear button. Then configure the new tax.

No tax on the invoice

If no tax is calculated on an invoice, check:

  • Is the client assigned to a taxable client group in their client information (e.g. Domestic)?
  • Do the items have an item group with the correct tax rate? If you move the mouse slowly over an item in the item list, a tooltip shows its item group and tax rate.
  • Does the matrix contain rates of 0 % for this client group?

Payments

GrandTotal supports multiple currencies.

You may add an exchange rate relative to the default currency. This will be used to covert rates when changing the currency of a document and to calculate the values in the dashboard to your native currency.

Define the conditions for the different payment types in Preferences/Invoices

You can setup up to 3 cash discounts that can be used using the options menu of the “Amount” tag in Preferences/Invoices/Conditions

Amounts in CHF are automatically rounded to 5 centimes. There is no setting for this.

Work time

Define here how items of supported time trackers are imported.

When adding placeholders in the the title or subtotal sections, titles or subtitles are inserted correspondingly. Use at least one common placeholder for titles and subtitles. Subtotal are only added if more than one subtotal is required

Auto-Grouping creates groups for items that share the same name.

Create a separate invoice for each project creates one invoice per project when importing. Include items with zero cost also imports entries without an amount.

Timed entries are imported with the unit "h" by default. You can change the unit here.

The default rate is used when importing timed entries from applications or services that do not support rates

Using rules you can declare what item groups should be used for the items. If there are no rules the default value of your item groups is applied.

All this settings apply during import and won't affect already imported items.

When adding an online timer service it will be added to the Overview screen.

Ask GrandTotal

With Ask GrandTotal you ask questions about your company file or have drafts created. The answer comes from an AI agent that runs on your Mac and works only with GrandTotal's tools.

Under Settings › Ask GrandTotal, choose “Off”, “GrandTotal Help” or an agent in the menu: Claude Code, Codex, Gemini CLI or Mistral Vibe (Gemini CLI only with a paid API key from Google). “GrandTotal Help” answers questions about using GrandTotal through Media Atelier's help service and sends no data from the file. An agent must be installed and signed in on the Mac; if it is not yet, “Set up…” guides you through installation and sign-in. “Test” asks a sample question. Under “Model” you choose the agent's model; “Default” leaves the choice to the agent. With “Off”, Ask GrandTotal is switched off for this file.

Permissions:

  • Questions: The agent only answers questions.
  • Questions and drafts: The agent also creates drafts and may change or delete what it created in the same conversation.
  • Questions, create and edit drafts: In addition, the agent may change, add and delete existing documents that have not been sent yet and their items.

Sent documents stay untouched at every level.

In the shared folders the agent may read files and save new ones, such as a report as a spreadsheet. GrandTotal does not overwrite existing files.

Ask your questions with the sparkles symbol to the right of the search field or with View → Ask GrandTotal (⇧⌘K). The agent knows your selection: “this invoice” means the selected one.

A conversation knows the previous questions. Start a new one with the “New conversation” button; after 30 minutes without a question a new one starts anyway.

What the agent reads goes to the provider of its model, i.e. Anthropic, OpenAI, Google or Mistral. GrandTotal always replaces names, addresses, email addresses, phone numbers and bank details with placeholders first, including the names in your question. You still see the answer with the real names; the eye in the window shows what actually went to the AI.

Ask GrandTotal does not need the MCP Server. Each conversation gets its own key that only applies to this file.

Notifications

GrandTotal can use the Notification Center to inform you when invoices are due, overdue or recurring.

Notification can repeat themselves if you wish so.

Estimates expire when the validity date is reached and it has not been marked either accepted or declined.

If an e-invoice service with receiving is used, GrandTotal can also inform you under Received about New documents.

Under Program Icon, Show Counter turns the number on the GrandTotal icon in the Dock on or off, e.g. for due, overdue or recurring invoices.

Languages

User interface

The language menu allows you to set the interface language of GrandTotal. This does not affect your layouts.

International Formats

GrandTotal formats numbers and dates in the common format of the recipient’s country. For each country in which you have clients, the date format and the number format can be adjusted here. For the number format you choose between the format of the recipient’s country and your own.

Languages

In Languages you can define single words or whole sentences for different languages. Those can be used in layouts or mail settings. You can select a language per client.
You also can create language variant like English formal and English informal
In layouts the boilerplates are accessible from the placeholders menu in Languages. Insert language elements into the mail templates using a right click.

MCP Server

Enable the MCP Server if you want an AI Agent to be able to control GrandTotal.

The permissions can be set for each company file individually.

  • None: no access.
  • Read only: the agent reads records.
  • Create records: it creates new records and may only change or delete what it created in the same session.
  • Edit drafts: in addition, it may change, add and delete existing documents that have not been sent yet and their items.

Sent documents stay unchanged at every level.

With “Redact info”, GrandTotal shortens names, addresses, email addresses, phone numbers and bank details to their first and last letter (“Erika Musterfrau” becomes “E*a M*u”) before data leaves the Mac. Subject, notes and item texts stay readable; names in them are shortened as well. Amounts, dates and document numbers stay readable. The AI cannot filter by personal data. Invoice PDFs remain blocked.

If you mention a client by name in the AI program, GrandTotal looks the client up on the Mac and gives the AI only its internal number and the shortened name. The question mark next to the option shows how a client reaches the AI.

For setting up copy the prompt and paste it into the corresponding agent.

Resetting the token will create a new prompt and revoke access for the existing connections.

Web Access

With Web Access you can use the open company in the browser of a phone, tablet or other computer, e.g. on an iPhone, an iPad or an Android device. There is no separate app for it; GrandTotal itself runs on the Mac.

Setup: In Settings › Web Access, turn on Access this file from anywhere. The status shows whether the connection is established. Under Paired devices, use + (Pair device) to create a QR code and scan it with the camera of the device, or Copy link for a browser on the computer. The code is valid for 10 minutes and for one device only.

For each Mac covered by the licence, two devices can be paired; the display below the list shows how many are in use (e.g. 1 of 2 devices). When the limit is reached, remove a device first.

For each device, Allow changes determines whether it may change data. Use – to remove a device; it loses access immediately.

GrandTotal must be running on the Mac with the file open. While access is active, GrandTotal prevents sleep.

Text Placeholders

Item texts in catalog items or document templates can be provided with placeholders. Texts enclosed in square brackets are then offered for completion when they are transferred to an invoice.

Placeholders are useful if project or customer-specific values need to be added to a catalog item. E.g. "Registration and setup of [domain]" or "Travel costs between [location A] and [location B] and back". When inserting a text with placeholders, a dialog is displayed in which you can simply add the missing values. With two places, GrandTotal calculates the driving distance there and back and enters it as the quantity if the item's unit is km or mi.

Pasting from other Applications

Time entries in the overview can be copied and pasted to the item list of an invoice draft. (item list needs to be focused before using ⌘V)

Supported Applications

Following Applications support GrandTotal via the Clipboard:

Finder

Copied files are inserted as items – one item per file, named after the file. For PDFs the number of pages, for images the pixel size is added to the description.

Merlin

Copied project lines from Merlin Project can be inserted into invoices and quotations via the clipboard.

MindNode

Copied nodes of a mind map are inserted as items, notes as description.

Timing

Timing Homepage
Copy the Tasks from the Details view in Timing and paste them to an invoice.

Timings

Timings Homepage (Discontinued)

Tractic

Copied timers are inserted as items with duration and hourly rate.

Text Editors & Spreadsheets

Tab-separated text can be inserted into the position list. GrandTotal attempts to insert the quantities and prices correctly.
Practical for inserting positions from a spreadsheet.

The first 2 numbers are recognized as quantity and unit price - if only 1 number is present, it is taken as the unit price. First text is title. Second description. With 3 text values, the first is taken as the unit.

At most 50 rows are inserted. If a row contains dates, the first is taken as the date and the second as the end date of the item.

Export/Import

Export

Lists

Clients, catalog items and report lists can be exported as CSV or Excel files: menu File › Export › Export (⌘E). In the Clients section, File › Export › As vCards… exports the selected clients as vCards.

The columns of the preview can be moved freely to put the fields in the desired order.

Columns can be removed by clicking the column header and then pressing the ➖ button. The ✚ button adds further fields.

To skip the detour via a file, the content of the preview can also be copied to the clipboard and pasted, e.g. into a spreadsheet.

Clients

Clients can also be exported as vCard files in addition to the lists. The menu for this can be found under File/Export if you are in the Clients section.

Documents

Documents can be exported in PDF format to the Finder or another application using drag'n'drop. In the lists of the overview you may select more than one document at a time and export them.

Layouts

Export layouts using the File/Export menu. (On the other mac double click that file to import it)

Accounting

GrandTotal can send it’s data to compatible bookkeeping applications. Use the „File/Send To“ menu for this. Plugins for accounting services like Xero, MonKey Office & shakehands Kontor can be loaded in Overview/Get Plugins

DATEV

The invoiced items can be exported as XML for DATEV via the File/Send to menu.

DEVONthink

Select the invoices in the list and send them to DEVONthink for archiving with File › Send to › DEVONthink; GrandTotal stores one PDF per invoice. The item only appears if DEVONthink 4 or newer is installed.

License

The installed licenses can also be exported, if GrandTotal has to be activated on a new computer. To do this, open the GrandTotal/Licenses window, select the desired license and export it with ⌘E.
This file can be installed on the other computer with a double click.

A subscription is managed via GrandTotal › Subscription…. After the purchase, the subscription arrives automatically with the next update check. A license file is installed with a double click.

VAT returns

File › Send to passes data to tax programs:

  • Germany: Steuererklärung (German VAT return) and Steuererklärung (German EC Sales List). This requires the Steuererklärung app version 4.0 or later; if it is missing, the entry is listed under Not installed and opens its website. Submission takes place in Steuererklärung via ELSTER.
  • Switzerland: E-VAT Net/Flat Tax Rate (ESTV) or E-VAT CH effective (ESTV) create the VAT statement as a file for the ESTV ePortal.
  • Belgium: Intervat (VAT return) and Intervat (EC Sales List) create the VAT return and the intra-Community listing as an XML file for the Intervat portal. The period must be exactly one month or one quarter.
  • United Kingdom: MTD VAT (mtdsheets.com) creates an Excel file for submission under Making Tax Digital.
  • Australia: BAS (ATO) works out the GST labels of the Business Activity Statement (G1, 1A, 1B …) as a worksheet.
  • New Zealand: GST return (myIR) fills boxes 5 to 15 of the GST return (GST101A).

These entries appear only when the Mac's region is set to the respective country, and they are listed in the menu under the country name.

Then choose the period.

This creates the German advance VAT return (Umsatzsteuervoranmeldung, UStVA) and EC Sales List for ELSTER, the Swiss VAT statement (Mehrwertsteuerabrechnung, MWST-Abrechnung) for the ESTV, the Belgian VAT return and the returns for the United Kingdom, Australia and New Zealand.

Send to Bookkeeping

File › Send to › Bookkeeping creates a folder with all PDFs and e-invoices of the invoices, credit notes and inbound invoices as well as spreadsheets of the invoices, items, credit notes and payments, e.g. for the tax advisor. The spreadsheets can then be filtered by payment status.

Import

Import clients, catalog items and invoice items using the File/Import menu. The files need to be in CSV or Excel Format.

File › Import (⌃⌘I) applies to the current section: in the Clients section to clients, in the catalog to catalog items, in the item list of a draft to invoice items.

For switching from another program, the menu GrandTotal › Migrate data from contains importers, e.g. for Billings Pro, SubTotal, Invoice Ninja, LexOffice, SevDesk or Papierkram. Importers for installed programs appear automatically.

Orders from GarageSale are sent from GarageSale to GrandTotal. Each order becomes an invoice draft; the buyer is created or updated as a client.

MoneyMoney

With File › Import › MoneyMoney…, GrandTotal reads the bookings directly from the e-banking software MoneyMoney. The first time, GrandTotal asks for the MoneyMoney password. The incoming payments then appear in the Overview among the payments and can be assigned to the invoices. The menu item is enabled as soon as MoneyMoney is set up on the Mac.

Alternatively, entries are sent from MoneyMoney to GrandTotal via MoneyMoney's "Accounts" menu. The current table selection is sent to GrandTotal. If nothing is selected, the entire list is transferred.

iFinance 5

Payments from the iFinance 5 e-banking software can be displayed via the File/Import menu. They can then be assigned to the corresponding invoices or customers.

Receipts

External invoices can be copied from Receipts using ⌘C and be pasted by hitting ⌘V in a GrandTotal document.

If a name of the document’s category in Receipts is the same as the one of an item group in GrandTotal, that item group is assigned in GrandTotal.

Conversely, File › Send to › Receipts transfers the invoices of a chosen period to Receipts.

Calendar

Calendar entries can be imported directly into an invoice. The duration of the entry is taken and multiplied by the hourly rate.

By default, the calendar with the name that most closely matches the customer name is selected.

DATANORM

DATANORM 4&5 files can be imported into the catalog via the Menu File/Import.

Payment files

Following statement formats from your bank will be automatically read and assigned to open invoices. Alternatively you can drop those file on GrandTotal’s application icon.
CAMT.054
CAMT.054 and CAMT.053 files from the bank's e-banking. Payments are matched to the invoices via the QR reference (Swiss QR code with QR-IBAN) or the RF reference (Swiss QR code with a regular IBAN, SEPA QR code).

Printing

Documents

Documents can be printed using the regular Print menu using ⌘P. Optionally you can add a watermark like Canceled, Paid or similar to the document.

For drafts you will see a warning in the print dialog. Drafts are not intended to be sent to the client. Use the "Send" button for this.

Lists

Lists in the overview are printed with File › Print List (⌥⌘P). Clients and catalog items can also be printed as a list.

Further columns are added with the + button. Click a column's title to select it; it can then be moved or removed with the – button or the Delete key.

Collaboration

GrandTotal uses a data format that can be worked on by several users at the same time. This eliminates the need to manually specify a synchronization method. The file is simply placed in a shared folder on Dropbox, iCloud, GoogleDrive or similar and all people involved can work on it. The shared .grandtotal file is opened with a double click or via the menu File › Open Company… (⌘O).

GrandTotal does not synchronize by itself; the cloud service does that. If the data differs between two Macs:

  • Check that the same file is open on all Macs (⌘-clicking the window title shows the location).
  • With Dropbox, set the file to Make available offline in the Finder context menu and wait until everything has been downloaded.
  • Compare the checksum in File › File Info on all Macs.

Network drives (NAS) are not suitable because they do not keep the data locally. Use the sync software of the NAS manufacturer instead.

To work at the same time, each person needs their own license.

Status indicator

If not all data for a complete display of the content is available yet, an orange indicator is displayed in the upper right corner of the main window. Clicking on it opens the File Information.

File Info

File › File Info opens a window whose pop-up menu switches between Log, Info, Changes, Errors, Devices, Speed and Verify.

  • Devices compares the state of the file with all Macs on which this window is currently open as well. If the files do not match, the cloud service has not yet completely synchronized the data, or it is a different file.
  • Speed measures how fast the file's storage location reads and writes.
  • Verify (if present) exports verification data of the file that can be checked independently of GrandTotal at mediaatelier.com/Verify.

Reset cache reloads the data if the display does not match the state of the file. If a large number of changes has piled up, Optimize File appears: it consolidates the changes, which speeds up opening.

Encryption

All data can be protected with a password. The encryption is done according to the modern AES256 standard. A strong password should be used - this can be stored safely in the keychain. If a password is forgotten, the data will be irretrievably lost.

Encryption is switched on in the save dialog, i.e. when creating a new company (File › New Company) or with File › Save a copy: check Encrypt, fill in Password and Repeat password and, if desired, choose Add to keychain.

Data protection

The end-to-end encryption of the data makes it impossible for third parties (including the cloud provider) to read the data. The data is only decrypted during it's use within GrandTotal.

Changing the password

To set a new password use the menu File › Save a copy and assign the new password to the new file.

Things you should know

Quick typing

When one or more items are selected in a draft, you can type the quantity directly on the keyboard without opening the item. 1h30 results in a duration of 1:30. If the input ends with %, e.g. 10%, all selected items get this discount.

Calculating number fields

Number input fields can calculate formulas. E.g. 100 / 4 becomes 25 when entered in a field.

Deleting

A lot of records can’t be deleted unless all dependencies have been removed. See Archiving
An item group for instance can't be deleted when all items that are pointing to it are removed. Documents that have been sent can't be trashed unless you have unlocked them. See Transcript
Documents with attached Payments can’t be removed unless all payments are deleted (This also applies for drafts).
A client may not be deleted as long it contains documents or payments.

Payments

To remove payments that were added by mistake, switch to the customer view and expand the corresponding invoice there.

Selected payments can be deleted using the minus button below the list.

Old documents

To remove documents whose date is more than 10 years ago, you can save a new file. To do this, press and hold the ⌥ key and open the menu File/Save in other formats. There you select Last 10 years.

In the new file, all older documents are removed. Also, all customers who have not assigned any documents are deleted.

Usage

For layouts you can show the usage using the gear button. For item groups, client groups, currencies and payment types the corresponding list can be opened using a right click.

Archiving

Records that are no longer needed like older layouts or outdated item groups can’t be deleted once they have been used. This is because they are still required by older document.
Clients, layouts, item groups and catalog items can be archived using a right click in their list. Archived items are hidden and can be shown if needed using a right click in the same list.

Archived entries are restored via Show archived in the context menu of the list.

Copy & Paste & Duplicate

Items can be copied and pasted to other documents.

This works with documents as well. After copied you can paste them in the list of another client.

Duplicate items and documents using ⌘-D.

Multiple selection

Use ⌘- or ⇧-click to select multiple entries in lists. For items, the context menu (right click) changes the values of all selected items.

Clients

If several clients are selected, their common settings appear on the right. A change applies to all selected clients.

Catalog

If several items are selected, their common settings appear on the right. A change applies to all selected items. Under Adjust Prices the prices can be changed by a percentage or by an amount (see Catalog/Changing prices in batch).

Moving

As long as a document is in the draft state, it can be dragged to another customer in the customers view. Invoice draft items can also be dragged to another draft.

Dragging out PDFs

You can drag a document preview to the Finder to save a PDF.

Filtering & Searching

Filtering

Above the lists you may filter the list by typing a string. Some lists have a menu on the right where you can change the sorting of the list.

Net/Gross

Net: The prices of the items do not include tax. Tax is added at the end of the document. Documents for business clients are usually created with net prices.

Gross: Tax is already included in the unit prices. Gross prices are required by law for consumers. The taxes are listed at the end of the document.

Documents

Editing

Once a Document has been sent it can't be edited unless you unlock it.
See Transcript

Cancellation

Invoices can be cancelled. See Invoices/State

Discounts

There are two different kind of discounts in GrandTotal.

One is on a single item. This is deducted directly from the item itself. Your item section in the layouts table needs to contain the <discount/> placeholder to display the discount.

The global discount entered below the items affects all items. (Including the ones already having an individual discount). This discount will be shown in separate line after the net section.

Drafts

All documents are drafts after creating them. As long you don't have sent them they don't have a send date and can be edited.

In the preview you will see a red question mark instead of send and due dates. Those will be replaced with the actual dates after hitting the send button.

Changing recipients

To change the recipient of a document, drag the document onto the corresponding client in the clients list on the left.

This only works with drafts. You need to unlock sent documents first

Proofreading

To check a document for errors, press ⌘K to open the correction view. If the computer is compatible with Apple Intelligence, an automatic spell check can be started.

Document menu (gear button)

If you move the mouse over a document in a document list (Clients or Overview), a gear button appears. Right-clicking the document opens the same menu.

Depending on the document it contains, among others:

  • Create Invoice (for estimates), Create Estimate (for invoices)
  • Create Corrected invoice (for invoices): creates a draft with negated quantities and the number of the original invoice as reference
  • Create Partial invoices (drafts only)
  • Create Template
  • the documents set up in Settings › Other Documents, e.g. Create Reminder
  • Attach Document and Attach Document group
  • Add Payment (as long as the invoice is not paid)
  • Proofread (for drafts), Open in separate window, Copy, Duplicate, Share
  • History: shows the changes to the document, e.g. an unlock

Share › Copy Link creates a link to the document. Anyone who has the same file open gets straight to the document by clicking it. Share can also send the link directly by mail or message.

The gear button below the item list of a document is a different one: it contains the item types and the sorting.

Separate window

A document can be opened in a window of its own: in the Clients section, double-click the document or choose Open in separate window in the document menu. A double click in the lists of the overview, on the other hand, jumps to the document in the client.

Additional fields

Additional fields can be added for three different record types. They always consist of a name that is shared for all records and a value that can be assigned individually for each record.

All fields can be added to layouts as well. An additional field can only be deleted as long as no record has a value in it.

If an additional field was created for information that now has a field of its own (e.g. IBAN), drag the additional field from the list onto the label of the standard field. GrandTotal transfers the values of all records and then deletes the additional field.

Clients

You can use this for adding additional data to clients. A fax number, Banking information etc.

Documents

Use this for information like Location, document related legal information etc.

Items

Volume or similar details can be added here. The catalog has dedicated fields for item numbers and EAN/GTIN (see Catalog), and depending on the edition also for weight. You setup the fields in the catalog section.

Layouts

Stationery and PDF

In case you are using preprinted stationeries you should not add background elements to your layout.

Save your stationery template as a PDF, set it in Settings › Stationery and turn it on in Settings › Mail with Use stationery. This background will be added to all documents you send by mail.

Formats

Numbers and dates in documents are always shown in the locale format of the recipient.

Europeans will get a DD.MM.YYYY date while americans will see a MM/DD/YYYY format. German recipients get a comma as decimal separator, while swiss have a period.

There are options for the date format in Settings › Languages (International Formats).

Sums

In addition to the totals, placeholders can also be used for the sums of individual article groups. For example, to list wage separately. The placeholders for this can be found in the Document category under Sum.

Transcript

If a sent document is unlocked and converted back to a draft, the change is logged to comply with legal requirements. The transcript can be opened from the GrandTotal menu and saved with File › Export.

A sent document is unlocked with the red lock button at the top right (Unlock document). This resets the date of sending; the number is kept. What happened to an individual document is shown by History in the document menu.
